Birth Certificate Name Change

Birth Certificate Name Change in Tamil Nadu

Published – October 1, 2026

If the name on a birth certificate is missing, misspelled, or needs to be changed, the correct process depends on the type of request.

In Tamil Nadu, adding a child’s name, correcting an incorrect entry, and changing an already registered name are treated differently. Understanding the difference first can help you follow the right process.

A missing child name should not be treated as a correction. Similarly, changing a correct registered name is different from fixing a spelling error.

Step 1: Check the Existing Birth Certificate

First, check what needs to be changed. Confirm whether the child’s name is missing or whether an existing name or parent detail contains an error.

Step 2: Collect Supporting Documents

Keep the existing birth certificate and documents that support the correct name or details.

Depending on the request, you may need:

  • Existing birth certificate
  • Parent or applicant ID proof
  • Document showing the correct name
  • School certificate, where applicable
  • Affidavit or declaration, if required

The exact documents can vary depending on the type of correction and registration authority.

Step 3: Approach the Concerned Birth and Death Registrar

The correction request should generally be made to the Birth and Death Registrar for the area where the birth was registered.

The Registrar may examine the supporting documents and carry out additional verification before approving a correction.

Step 4: Submit the Request

Submit the required application, declaration or correction request along with the supporting documents.

For a child whose name was not included during the original birth registration, use the Child Name Inclusion process instead.

Step 5: Get the Updated Certificate

Once the approved change is updated in the birth register, obtain or download the revised birth certificate through the relevant official service.

Tamil Nadu has different online services depending on the local authority.

For municipalities and corporations outside Chennai, the Tamil Nadu Urban ePay portal provides a Birth Correction search facility. The portal allows users to search using details such as registration number, date of birth, father’s name, mother’s name, child’s name, place of birth, hospital and gender.

It also has a separate Child Name Registration search service for adding a child’s name to an eligible birth record.

However, an online search does not mean every correction is completed automatically online. The concerned Registrar may still need to verify the request and documents.

The online service begins by entering a mobile number, receiving an OTP and completing OTP verification. GCC also provides a declaration form for registering the child’s name.

For name inclusion, GCC states that a child’s name can be included within 12 months of birth by submitting a written declaration from the parent or guardian without a fee. For later requests, additional documents such as an affidavit and supporting records may be required.

For correction of existing entries, GCC states that corrections may be made based on supporting documents, applicable rules and field verification where necessary. The corrected certificate can then be downloaded from the GCC website.

A complete name change is different from correcting a spelling mistake.

Greater Chennai Corporation’s child-name declaration states that once a child’s name is registered in the birth register, it cannot be changed through the child name inclusion process.

If you want to replace an already registered name rather than correct an error, contact the concerned Birth and Death Registrar before starting the process. Additional legal name-change documents may be required depending on the case.

Once the change is completed:

  • Download or collect the updated birth certificate.
  • Check the corrected name and other details carefully.
  • Save a digital copy for future use.
  • Update other records separately if they still carry the old or incorrect name.

1. Can I correct a spelling mistake in a birth certificate?

Yes. Corrections such as spelling mistakes may be considered by the concerned Registrar based on valid supporting documents. GCC specifically states that spelling mistakes in parent names and certain surname changes can be handled based on supporting proof.

2. Can I add my child’s name in birth certificate online in Chennai?

Yes. Greater Chennai Corporation provides an online Child Name Inclusion service for eligible birth records.

3. Is Gazette notification required for every birth certificate correction?

No. A simple spelling or clerical correction is different from a complete legal name change. The documents required depend on the type of change and the decision of the concerned Registrar.
